RECEPTIONIST & OFFICE ADMINISTRATOR - TEMP to PERM
Salary: £11.28 per hour
Hours: 8.30-5pm Monday to Friday
We are recruiting for a large, progressive buiness based in Uxbridge. Our client is looking for a cheery and friendly receptionist who has an excellent telephone manner. Receptionist Responsibilities
- First point of contact for visitors to office by phone & F2F
- Answer incoming calls : transferring/taking messages/screening where appropriate
- Open door to all visitors being aware of those who visit regular
- Express Vending, Maintenance people
- Maintain the industry magazines in reception / discarding old ones
- Receive post and ensure circulated
- Frank and send outgoing post
- Book couriers e.g. DHL and order supplies required
- Test fire alarm weekly
- Order stationery for office as necessary ensuring we always have important items in stock
- Update phone list Notify warehouse when sandwich van comes
- Travel Support (3 days a week)
- Book ad-hoc travel for Technical, Sales, Finance, some Management, and others as necessary according to policy
- Book hotels (UK and overseas) when required
- Arrange ad-hoc car transfers
- Travel Requisitions e.g. flight bookings
Office Support Responsibilities
- Order supplies for kitchens e.g. tea/coffee/sugar/water/soft drinks
- Order milk, fruit/ Changing /cancelling standing order when necessary
- Ensure milk and fruit is divided and brought upstairs on Mondays and Wednesdays
- Check that communal areas are kept tidy, updating EA & liaising with cleaner if not
- Order lunch for meetings (ad-hoc)
- Assist with visa applications, letters (usually for the India office)
- Order business cards
- Ad-hoc assistance with booking meeting rooms in hotels/conference centres for the sales team as and when needed
- Support EA with processing of PO's for vendors and various purchases
- Office Staff Events
- Assist EA with the planning of various events throughout the year seasonal and other
- Help arrange office events, e.g. Town Halls, Staff Events, Family Day, Diversity & Inclusion events etc.
- Support EA on logistics for ICE Show in February each year e.g. book hotels and transfers for all staff including worldwide attendees from other locations
- Preparing show packs, including ordering supplies when necessary and printing and binding information packs
- Order uniforms for all technical staff for ICE
- Car bookings for all international visitors
- Booking restaurants for sales people & ad-hoc support
